Job Responsibilities
As an executive assistant, you will work closely with the CEO, Chief of Staff, and Executive Coordinator, ensuring smooth operations within the leadership team. Your responsibilities will include:
- Diary & Email Management: Organizing meetings, scheduling across multiple time zones, preparing agendas, and streamlining inbox priorities.
- Travel & Meeting Logistics: Coordinating international travel, arranging logistics, and ensuring seamless meeting preparations.
- Operational Coordination: Implementing systems and tools to manage the CEO’s workload effectively.
- Stakeholder Engagement: Supporting outreach efforts, preparing briefings, and ensuring strong follow-ups.
- Knowledge Management: Facilitating internal coordination, tracking actions, and managing information flow.
- Administrative Tasks: Handling expenses, managing budgets, maintaining filing systems, and processing invitations.
Requirements & Qualifications As An Executive Assistant
To succeed as an executive assistant at Meliore Foundation, you should have:
- 5-8 years of experience as an executive assistant or in a similar high-level administrative role.
- A strong ability to manage complex and evolving schedules.
- Excellent communication skills in English (other languages are a plus).
- Proficiency in Microsoft Outlook, Excel, PowerPoint, and collaboration tools like Slack, Trello, and Asana.
- Exceptional organizational, problem-solving, and prioritization skills.
- A proactive, adaptable approach with the ability to handle last-minute changes.
- Passion for climate and environmental issues.
